Return & Refund Policy

At Egumeni Inn & Conference Centre, we are committed to providing exceptional services and ensuring your satisfaction. This Return & Refund Policy outlines the terms and conditions under which refunds, cancellations, and changes may be made for reservations, conference bookings, dining experiences, and other services offered at our establishment.


1. Room Reservations

1.1 Cancellations

  • Flexible Rate Bookings
  • Cancellations made 48 hours or more before the scheduled check-in date will receive a full refund of any prepayments made.
  • Cancellations made less than 48 hours before check-in will incur a 50% cancellation fee on the total reservation amount.
  • No-shows (failure to check in without prior notice) will be charged 100% of the reservation fee, and no refund will be issued.
  • Non-Refundable/Promotional Bookings
  • These bookings are offered at discounted rates and are non-refundable.
  • Changes or cancellations are not allowed unless specified in the offer terms.

1.2 Early Departures

  • Guests who check out earlier than the confirmed departure date will be charged for the full duration of the booking, unless an exception is granted by management.

2. Conference & Event Bookings

2.1 Cancellations

  • Cancellations made 14 days or more before the event date will receive a full refund of the deposit paid.
  • Cancellations made 7 – 13 days before the event will incur a 25% cancellation fee on the total event cost.
  • Cancellations made less than 7 days before the event date will forfeit 50% of the deposit paid.
  • No-shows or same-day cancellations will result in the forfeiture of the full deposit, and the client will be liable for any additional pre-arranged service charges.

2.2 Changes to Bookings

  • Date changes are permitted subject to availability and must be requested at least 7 days in advance.
  • Any changes resulting in reduced guest numbers must be communicated 5 days prior; otherwise, charges will be based on the initial confirmed numbers.

3. Dining & Buffet Services

3.1 Dining Reservations

  • For individual table reservations, cancellations made 24 hours or more before the booking time will not incur charges.
  • Late cancellations (within 24 hours) or no-shows may incur a set charge per person if special arrangements, catering, or group bookings were involved.

3.2 Buffet & Pre-Paid Events

  • Tickets or pre-paid bookings for buffet events are non-refundable unless the event is cancelled by Egumeni Inn & Conference Centre.
  • If an event is cancelled by us, guests will be offered an option to reschedule or receive a full refund.

4. Refund Processing

  • Approved refunds will be processed using the original payment method (e.g., EFT, debit/credit card).
  • Refunds are typically processed within 7 – 14 business days depending on your bank or payment processor.

5. Payment Disputes

  • If you have a concern about charges to your credit/debit card or EFT payment, contact our billing department immediately.
  • We will investigate the matter, and if an error has occurred, we will correct it promptly.

6. Refund Exclusions

Refunds will not be issued in the following cases:

  • Failure to adhere to our cancellation policies and deadlines.
  • No-shows or early departures not approved by management.
  • Services interrupted or shortened due to external factors beyond our control (e.g., weather events, power outages), unless otherwise determined by management.

7. Exceptional Circumstances

We understand that emergencies or unforeseen events may arise. In exceptional cases, such as medical emergencies or bereavement, we may consider refund requests outside our standard policy at our discretion. Supporting documentation may be required.

Monday to Friday: 8:00 AM – 5:00 PM
Saturday: 9:00 AM – 1:00 PM
(Sundays and public holidays: Limited support)


9. Policy Updates

Egumeni Inn & Conference Centre reserves the right to update or modify this Return & Refund Policy at any time. Updates will be posted on our website, and the revised policy will apply to all future transactions.
